Job Description

We are seeking a skilled Payroll & Benefit Specialist responsible for processing bi-weekly payroll and managing HR compliance activities. This role involves maintaining accurate payroll records, ensuring compliance with state and federal laws, and supporting HR initiatives such as onboarding, performance evaluations, and training. The ideal candidate will have an understanding of payroll best practices, an eye for detail, and excellent communication skills.

 Key Responsibilities: 

  • Payroll Processing:
    • Accurately process bi-weekly payroll, including calculating overtime, deductions, and bonuses using payroll systems.
    • Handle multi-state payroll processing, including specific requirements for California.
    • Manage tax processing, benefit payments, PTO accrual, and 401(k) contributions.
    • Track and maintain hourly rates, wages, benefit rates, and new hire information.
    • Address payroll-related inquiries from employees and management and troubleshoot as necessary.
    • Prepare payroll reports for management and finance.
  • HR Compliance & Record-Keeping
    • Review, track, and document compliance with mandatory and non-mandatory training, such as safety and anti-harassment training, professional licensure, and certifications.
    • Ensure compliance with federal, state, and local employment laws and regulations.
    • Support the review of policies and practices to align with regulatory changes and industry best practices.
  • Onboarding Support:
    • Educate new hires on their benefits and how to maximize the use of benefits throughout employee life cycle.
  • HR Program Administration:
    • Administer routine HR tasks, including compensation, benefits, and leave.
    • Address employment-related inquiries and escalate complex matters to HR management as needed.

 

Minimum Qualifications: 

  • Bachelor’s degree
  • 1-2 years of experience as a Payroll Specialist with a solid understanding of payroll processing and compliance.
  • Familiarity with federal, state, and local legislation governing payroll and employment.
  • Proficiency in MS Office and experience with relevant payroll software and databases.
  • Excellent organizational skills and attention to detail.
  • High level of confidentiality and integrity.
  • Effective communication skills, both written and verbal.
