Alumni Events and Operations Assistant
Alumni Events and Operations Assistants are responsible for assisting with the daily operations and security of the Alumni Engagement facilities, reconciling event management documents, keeping track of equipment inventory, providing customer service, and overseeing events within the facility. Alumni Events and Operations Assistants will assist full time staff as needed in various capacities.
Responsibilities
Daily Operations
- Ensure facility is open/closed according to schedule
- Assist and monitor reception area as necessary by answering inquiries about the facility and providing front line customer service
- Assist with deliveries (on and off campus)
- Assist full time staff with reporting facility issues (maintenance, cleaning, etc.)
- Assist full time staff with all inventory procedures/management
- Maintain working knowledge of Google Suite and Banner Self Service (All staff will be trained on Banner)
- Assist full time staff with event documentation such as reconciliations after events take place
- Assist full time staff as necessary with various projects/ tasks
Events
- Verify correct event setups from info via event folders
- Greet event groups and provide onsite assistance as necessary
- Provide a/v support before and during events
- Responsible for room changes for setup/breakdown of events (Must be able to lift and move furniture up to 50Ibs)
- Assist in building/event coverage for both Harris Alumni Center and Hauser Alumni Pavilion
Availability
- MUST be available on Tuesday and Thursday mornings 8:30a-1:00p
- MUST be available on the occasional weekend/ evening for events as needed
