Job Description
Key Responsibilities:
- Develop, implement, and manage Service Level Agreements (SLAs), Memoranda of Understanding (MOUs), and other service agreements for the university's Facilities Management Dept.
- Collaborate with campus departments to define service expectations, scopes of work, performance measures, and funding models.
- Facilitate cross-functional meetings and serve as a key liaison between Facilities Management and campus partners.
- Oversee the full lifecycle of Facilities Management contracts, including solicitation support, implementation, renewals, amendments, performance monitoring, and closeout activities.
- Manage a diverse portfolio of service contracts supporting campus operations.
- Establish vendor performance standards and monitor compliance with contractual obligations and service expectations.
- Ensure contracts and business practices comply with university policies, procurement requirements, and applicable regulations.
- Partner with Materials Management and other stakeholders to mitigate operational, financial, and contractual risks.
- Develop and maintain standard operating procedures (SOPs), business processes, and internal controls.
- Support budget development, cost recovery programs, and internal billing processes associated with contracted services.
- Monitor contract expenditures, reconcile financial activity, and provide financial analysis and reporting.
- Oversee procurement-related transactions and ensure accurate financial documentation and accountability.
- Develop and maintain dashboards, performance metrics, and reporting tools to monitor contract performance, vendor effectiveness, and service outcomes.
- Utilize data to identify trends, improve decision-making, and support continuous improvement initiatives.
- Prepare executive-level reports and recommendations for leadership.
- Serve as the primary point of contact for complex customer issues related to contracts, service agreements, and billing matters.
- Coordinate with Risk Management and Asset Management on insurance claims, warranties, and contract-related disputes.
- Advise leadership on contract strategy, vendor performance, service delivery, and operational improvements.
