Summary:  A Human Resources Assistant supports the HR department by handling various administrative tasks related to employee records, recruitment, and onboarding processes. Responsibilities typically include maintaining personnel files, processing paperwork for new hires and terminations, scheduling interviews, and assisting with employee benefits administration. They may also handle inquiries from employees regarding HR policies and procedures, as well as assist with organizing training sessions and company events. Additionally, HR Assistants often collaborate with other departments to ensure compliance with labor laws and company policies.

This position reports directly to the Sr. Director of Human Resources for Chartwells at UNC Charlotte. Their office is located on the UNCC’s Campus. This is not a hybrid or remote position.

  • Delivers exceptional customer service by promptly addressing employee inquiries and providing insightful responses.
  • Ensures compliance and accuracy by meticulously verifying I-9 documentation and efficiently completing associated forms, while proactively tracking and updating information as needed.
  • Facilitates a seamless onboarding experience by managing online investigation requests and supporting the background check process for new hires.
  • Maintains precision in HR documentation by promptly updating employee files with change requests and processing paperwork in a timely manner.
  • Supports the HR team in handling terminations with professionalism and sensitivity, ensuring all necessary procedures are followed.
  • Contributes to a culture of excellence by assisting in the preparation of performance review forms, promoting accountability and growth within the organization.
  • Partners with the HR Manager on various strategic initiatives and research projects, offering valuable insights and support as needed.
  • Plays a pivotal role in talent acquisition by aiding in the recruitment and interview process, helping to identify and secure top talent for the organization.
  • Demonstrates strong organizational skills by efficiently scheduling meetings and interviews, optimizing productivity and collaboration within the HR department.
  • Enhances the professionalism of company events by coordinating conferences and securing appropriate facilities at reputable local venues.
  • Upholds administrative efficiency by performing various clerical tasks, including photocopying, faxing, and filing documents with precision and attention to detail.
  • Ensures confidentiality and organization by accurately filing papers and documents into designated employee files, maintaining a streamlined and secure record-keeping system.
  • Supports effective communication within the organization by assisting with the preparation and distribution of correspondence, fostering transparency and clarity.
  • Streamlines the onboarding process by preparing new employee files and ensuring all necessary documents are complete and accurate.
  • Maintains operational efficiency by processing incoming and outgoing mail in a timely manner, supporting smooth communication flow within the HR department.
  • Demonstrates adaptability and a willingness to contribute by taking on additional duties and responsibilities as assigned, actively supporting the overall goals and objectives of the HR team.



Education and Experience:  High school diploma or general education degree (GED); or one to three months’ related experience and/or training; or equivalent combination of education and experience.

  • Preferred: A degree in Human Resources and/or Management, or relevant field, is highly desirable.

Language Skills:  Oral communication—the individual speaks clearly and persuasively in positive or negative situations, demonstrates group presentation skills and conducts meetings.  Written Communication—the individual edits work for spelling and grammar, presents numerical data effectively and is able to read and interpret written information.   

Mathematical Skills:  Ability to perform simple arithmetic including weights and measures.  Ability to make rapid calculations.  Ability to use calculator and computer.  Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.



Reasoning Ability:  Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Physical Demands: . While performing the duties of this job, the employee is regularly required to sit; use hands to  handle, or feel; and talk or hear.  The employee frequently is required to reach with hands and arms.  The employee is occasionally required to stand.  The employee must occasionally lift and/or move up to 10 pounds.  Specific vision abilities required by this job include close vision, and ability to adjust focus.

Work Environment:  Moderate noise (examples: business office with computers and printers, light traffic).
