Position Title: Medical Office Front Desk Manager (Bilingual Strongly Preferred)
Reports to: Executive Director
Classification: Exempt
Category: Permanent, Full-Time
Schedule: 40 hours per week, Mon-Thurs
The Office Manager will manage the front desk/patient reception for our free medical clinic and work with clinical staff and volunteers to facilitate patient services in both English and Spanish. The ideal applicant for this role will be able to meet the varying unique needs of a free medical clinic, including processing all documentation for annual patient enrollment. This individual must exhibit kindness and compassion for our patients.
Job Qualifications:
- Associate degree or some college required; MOA, CHAA, CNA, or related certification preferred
- Minimum 3 years of medical reception and/or clinical experience
- Some previous management or supervisory experience
- Must have a passion for the mission of HealthReach Community Clinic
Skills, Abilities, and Attributes:
- Excellent written and oral communication skills in English and Spanish (strongly preferred)
- Good judgment and the ability to remain calm when confronted with stressful situations
- Prior experience working with low-income or otherwise vulnerable individuals and families; previous exposure to a free clinic preferred
- Dependable, punctual, and flexible
- Strong organizational skills
- Ability to multitask and set priorities
- Computer proficiency in Microsoft Word, Outlook, and Excel
- Pays close attention to detail
- Experience with an electronic medical records system or practice management system strongly preferred
- Experience working with volunteers a plus
Primary Responsibilities:
- Serve as an integral part of the HealthReach team to facilitate the provision of high-quality medical services for patients
- Manage HealthReach patient enrollment process (process all applications for new and existing patients)
- Supervise all front desk operations, front desk volunteers, and waiting room
- Document and manage pertinent information in our electronic medical records (EMR) system (Athenahealth)
- Use our EMR system to schedule appointments and help maintain patient flow
- Manage patient check-in and provide post-appointment services
- Communicate with patients, staff, and other medical offices regarding patient care information
- Ability to utilize different forms of technology and troubleshoot problems as they arise
- Oversee daily operations and facility needs
- Provide backup interpreting support for Spanish-speaking patients (strongly preferred)
- Oversee inventory of all office supplies and equipment; assist with procurement
- Ensure patient confidentiality
- Answer and direct correspondence to appropriate staff
- Greet all patients and visitors
- Maintain a neat, clean, and functional environment in the office
- Attend all clinical team meetings and other meetings as deemed appropriate by Executive Director
- Act as an ambassador for HealthReach and provide awareness of our services to the community
- Other tasks as assigned by the Executive Director
