Job Description

Summary
The Internship Preconstruction Assistant position is responsible for supporting the project team in managing and executing all tasks
required to prepare a successful project deliverable this includes and is not limited to, document management, vendor and trade
partner relationships, estimating, and preparing client deliverables. The role requires a highly organized and detail-oriented
individual. This is a part-time, entry-level position with growth potential and career progression through the employee journey.

In this position you’ll learn the duties and responsibilities of the Preconstruction Assistant and actively perform those as directed by
project lead and team members.


Duties and Responsibilities & Work Ethic

Document Management
• Receive and organize project documents as directed by the project Leader.
• Set up, organize, and accurately manage project files and folders.
• Oversee timely distribution, tracking, and accuracy of project documents.
• Produce weekly progress reports for team members on all assigned projects.
• Update and implement software programs for collaboration, quality, and document management.
• Learn and demonstrate proficiency in reading and understanding project specifications and drawings
• Serve as a liaison between the Preconstruction and Construction Management teams to ensure seamless documentation
transfer.


Vendor and Trade Partner Relationships
• Develop a working proficiency with the ITB platform, software, and files…etc.
• Preform outreach to vendors and trade partners.
• Communicate and develop relationships with vendors and trade partners.
• Address project-related inquiries and provide clarifications as needed.
• Manage vendor and trade partner database.


Estimating
• Attend meetings, take notes, and learn.
• Assist the project team with reviewing project documents, quantifying components and elements, qualifying the scope of
work, and generating RFIs through coordination and constructability reviews.
• Utilize estimating software to conduct detailed take-offs and accurately quantify project scope.
• Review architectural plans and specifications to ensure scope accuracy and anticipate potential construction challenges.
• Assure project construction compliance by becoming intimately familiar with the assigned project plans and specifications.
• Deliver bid proposals and assist in data entry and management of CRM online platform.


Client Deliverable Preparation
• Learn, understand, and apply the proper construction delivery methods.
• Assist in creating comprehensive project proposals.
• Assist in preparing client deliverables.
• Produces weekly progress reports to team members for all assigned projects. These will include the following:
o Weekly status on vendor and trade partner outreach.
o Weekly status on client deliverable preparations.


Candidate Qualifications
• Bachelor's degree in civil engineering, construction management, or related field, or equivalent education and experience.
• Good written and oral communication skills; comfortable talking on the phone.
• Flexibility and willingness to modify plans and behavior when necessary to meet a goal.
• Basic understanding of horizontal and vertical construction types, trades, methods, etc. preferred.
• Ability and desire to quickly learn new job-related information.
• Understanding and application of OSHA and company safety requirements.
• Problem-solving skills and ability to deal with a variety of variables.
• Ability to read and understand project documents, drawings, and specifications.
• One year of previous field experience preferred.
• Working knowledge of scheduling programs preferred.
• Ability to understand and convey basic Spanish commands, questions, and instructions preferred.


Required Technical Skills
• Proficiency in estimating software such as Bluebeam, Planswift, OST, ProEst, RSMeans, or similar tools.
• Proficiency in Precon Suite, Building Connected, ISQFT, or similar tools.
• Proficiency in Microsoft 365 Office (Excel, Word, OneDrive, Outlook)
• Proficiency in Primavera P6, Microsoft Projects, or similar scheduling tools.
• Ability to learn new software programs quickly and apply them to processes.
