Wesley Community Development, an award-winning non-profit commercial real estate team, is searching for an Administrative Assistant to join our team in delivering best in class service to faith-based organizations.

In this role, you will provide essential support to senior leaders where you'll have the opportunity to engage with senior executives across various platforms and support functions. Your work will be instrumental in providing administrative support, in a wide variety of office, administrative, and support duties while coordinating calendars and arranging travel, directly contributing to the success of key projects and initiatives.

Essential Duties & Responsibilities

  • Work well in a high energy, fast paced, enthusiastic, positive, and collaborative culture.
  • Fully manage the calendars of senior leaders, ensuring consistency and alignment with organizational priorities. Handle complex scheduling across different time zones and maintain a high level of coordination.
  • Provide high-level administrative support, including managing records, ordering supplies, addressing inquiries, writing and proofreading reports, determining their significance and planning their distribution.
  • Prepare agendas and arrange meetings, including setting up conference calls and video conferences. Assist in planning and coordinating off-site events and meetings for managers, including catering and logistics.
  • Answering and redirecting phone calls and e-inquiries to appropriate leadership.

Knowledge, Skills & Abilities

  • Exceptional verbal and written communication skills, with a strong ability to interact with senior leadership and clientele.

      · Formats, types, and edits a variety of clear and concise correspondence:        including memos, reports, presentations and confidential material; drafts routine correspondence for supervisor’s approval.

      · Maintains, updates, and enhances filing of departmental files, records, and publications; maintains confidential files and materials, including digital files.

  • Strong organizational and multitasking abilities, and the ability to work independently.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to be a self-starter and perform in an environment with tight deadlines and work effectively under minimal supervision within a team structure.
  • Ability to handle confidential information and demonstrate discretion.
  • Ability to establish and maintain collaborative working relationships with all stakeholders.
  • Possess and maintain a valid driver's license, or ability to provide own transportation.
  • Travel to professional meetings.

Education, Training & Experience

  • 1-3 years in administrative or executive administrative roles, with a strong focus on calendar management and business administration.
  • Previous experience supporting senior executives, preferably within Microsoft or similar enterprise-level organizations.
  • Extensive experience with Microsoft internal tools and software, including proficiency in Microsoft Word, Excel and PowerPoint.
  • High school diploma or GED required.

OR

  • Any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential duties and responsibilities of the position.

Salary

Commensurate upon experience.
