Job Description
The Project Administrator supports a global Building Requirement Sheet (BRS) program that manages building requirements and specifications across multiple regions, including North America, Europe, Latin America, Australia, and others. This role helps coordinate the end-to-end lifecycle of BRS creation, development, scheduling, and approval, ensuring structured stage gates from initial concept through as-built documentation. The position focuses on consolidating diverse building and operational inputs, aligning stakeholder requirements with final deliverables, and supporting effective site selection and process design for new and existing fulfillment centers.
Responsibilities

Support the BRS program by coordinating the development and management of building requirements and specifications across global regions.

Prepare weekly and monthly program reports that clearly communicate status, progress, and issues to stakeholders.

Maintain dashboards to track key performance indicators (KPIs), milestones, and risks for the BRS program and related projects.

Review and annotate PDFs and project documents, ensuring accuracy, clarity, and proper version control.

Collect schedule updates from multiple teams and consolidate them into a master project schedule for program visibility.

Capture, organize, and distribute meeting notes, and track action items through to completion.

Gather and validate data from stakeholders to support reporting, basic analysis, and decision-making.

Maintain PMO trackers, logs, and templates to support process adherence and standardized reporting.

Coordinate with stakeholders to ensure timely and comprehensive input into BRS documents, including data related to dock door counts, parking capacity, storage types, throughput, product mix, labor planning, and building/site specifications.

Support the structured stage-gate process from Stage 0 (pre-template) through Stage 3 (as-built), helping ensure consistency and clarity throughout the project lifecycle.

Assist with document control activities, including organizing and updating project documentation and maintaining accurate records.

Support data entry tasks related to BRS, PMO tools, and project documentation.

Contribute to cross-team coordination efforts to align stakeholder requirements with final project deliverables.
Essential Skills

Moderate program management experience across programs, BRS, portfolio, or PMO environments.

Proficiency in business intelligence (BI) tools and data handling, including working with data sources and creating reports in PDF and Excel formats.

Strong Microsoft Excel skills for data organization, analysis, and reporting.

Demonstrated experience in PMO support, including maintaining trackers, logs, templates, and dashboards.

Strong stakeholder engagement and coordination skills, with the ability to gather, validate, and consolidate information from multiple teams.

Excellent data collection and data validation skills with high attention to detail.

Experience with administration and document control in a project or PMO environment.

Ability to manage multiple tasks, meet deadlines, and support structured stage-gate processes.

Strong written and verbal communication skills for reporting, documentation, and meeting note capture.
Additional Skills & Qualifications

Experience in architecture and/or construction is a plus, particularly in environments involving building or site specifications.

Familiarity with construction-related processes such as Engineering Change Orders (ECO) and Requests for Information (RFI) is beneficial.

Experience in data entry and administrative support in a project-based setting.

Experience supporting large-scale programs or portfolios for technology-focused or highly innovative organizations.

Interest in working within a project management practice that emphasizes professional development, employee engagement, and strong partnerships.
Work Environment
This is a fully remote role that supports a global, highly innovative project environment. You will collaborate virtually with teams across multiple regions and time zones, using digital tools for BI reporting, Excel-based analysis, PDF review, and PMO documentation. Job Type & Location
This is a Permanent position based out of Seattle, WA.
Pay and Benefits
The pay range for this position is $35.00 - $40.00/hr.
