Position Title
Accounting Specialist/ Administrative Assistant III- Marshal's Office (hybrid in-person/remote work option may be available)
Location
The Fourth District Court of Appeal is in downtown West Palm Beach. The Court is located across the street from the West Palm Beach Tri-Rail Station and approximately 1/2 mile from the West Palm Beach Brightline Station.

Job Description
The essential function of the position within the organization is to provide complex accounting and administrative support. The position works independently, reporting major activities through periodic meetings. Performs general accounting functions such as auditing accounts, processing vouchers, assisting in the budget process, processing purchase orders, or preparing bills.
Approves final level purchase card charges and reconciles monthly purchasing card reports for proper documentation.
Researches and analyzes financial and accounting records to determine sequence of operations and required account resolutions; recommends and/or implements resolutions as needed.
Sets up and maintains files, books, records, and other departmental systems of responsibility; provides database updates as required. Gathers and maintains information/data to prepare periodic and special reports for the area of responsibility. Performs clerical tasks such as processing travel reimbursements, filing, faxing, purchasing supplies, or photocopying.
The Accounting Specialist responsibilities include, but are not limited to:

Provides accounting resource processing and support to the Marshal and other court staff.

Collects and analyzes data for statistical reports.

Assists in conducting surveys.

Prepares documents, coordinates facility uses, and updates database/spreadsheets.

Composes/drafts and/or typing correspondences, memorandums, reports, e-mails, and other documents observing strict confidentiality.

Screens telephone calls and visitors; provides information to the public and resolves issues or directs caller/visitor to appropriate office or staff.

Sets up and maintains files, books, records, and other departmental systems of responsibility; provides database updates as required.

Gathers and maintains information/data to support periodic and special reports for the area of responsibility; makes copies and distributes to appropriate personnel or departments as designated.

Performs clerical tasks such as processing incoming mail, collecting, and distributing court files, performing data entry, and filing.
Education and Training Guidelines
Bachelor's degree or equivalent preferred. Relevant experience may substitute for the recommended educational level.
